Zoho Workplace has two collaboration editions: Standard and Professional. Standard includes Mail, Calendar, WorkDrive, Writer, Sheet, Show, Cliq, Meeting, Vault and Directory. Professional adds storage and features such as retention, eDiscovery and mobile access management. Mail Lite, Mail Premium and Mail Free are separate, mail-focused offers. They should not be treated as the full Workplace suite. This review compares the published edition details and the questions a team should resolve before choosing a plan.

From trial to a team plan
List the tools each person needs
Separate people who need only email from people who need shared files and office apps. Count the paid seats for each group.
Choose a trial workflow
Use a representative document, spreadsheet and presentation. Check formatting, collaboration and access permissions with the people who use those files.
Check both storage allowances
Measure existing mailbox sizes and shared files separately. Apply the published pool rules to your headcount and license mix.
Compare the full quote
Ask for the billing currency, price per paid seat, subscription term, taxes and any extra charges. Request the storage allocation for mixed licenses in writing.
Plan the move
Agree who will manage accounts, shared folders and permissions. Set a migration schedule and a way to check that essential files and mail are available.
Build a budget from the quote
A currency conversion or an old advertised price would not establish today’s bill. Use the current quote and the number of paid users instead. This example shows the calculation without inventing a price.

For Professional, teams above ten users add 100 GB of file storage per additional user. Teams below three receive 100 GB per user. Mixed-license rules differ.
Compare editions by the work they must support. A larger mailbox does not automatically solve a shared-file storage problem. A low seat quote is also incomplete if it leaves out the people or tools the team needs.

Is free Zoho Mail the full Workplace suite?
No. Mail Free is a mail-focused offer. Workplace Standard and Professional are collaboration suites. Paid plans charge for every user, so do not carry a five-user free allowance into a paid-suite budget.

Is shared-file storage separate from email storage?

Can I mix Mail and Workplace licenses?
Annual subscriptions can combine these licenses under Flexible Plans. The storage calculation differs from a team with one Workplace edition. Request the allocation for your exact mix.
What should I do during the trial?
